When booking hotels: use ML4 and AAA rates through Marriott

Rate-Per-Night

Please do your best to book hotels at the lowest possible rate (ideally < $140 base rate) that also provides safety and reasonable convenience (compared to other local options).

Use your judgement on hotel costs and loop Micaela in when you run into any situations where rates are higher than normal.

Cost should not be the only variable considered with hotel rates. Please consider the following:

• Safety: Do not stay in an area where you feel unsafe or at risk
• Proximity: Do not stay further than 30 minutes from your desired location unless there is a specific reason
• Opt-Out Program: If you choose to not stay in a hotel and don’t expense lodging you can opt-out of a hotel and collect an additional $50/day in lodging per-diem. Use “lodging per diem” on your expense report for this purpose. This is eligible for any business visit but does not include visits to Pirate City or our Dominican Complex when there is single room availability.

Itemizing Hotel Expenses

You will need to itemize your hotel expenses. To accurately itemize a hotel expense, you must account for all business charges that appear on your hotel bill. You will need to navigate to the “itemizations” tab under the “Hotel” expense type to input room rates and taxes.
